Guidelines for Potential Exhibitors and Exhibitor Agreement

The La Leche League Canada - AB/NWT 2010 Area Conference will be held at Hunting Hills High School in Red Deer, AB on May 8th and 9th 2010.

Exhibits may be set up Saturday May 8th between 7:30 a.m. and 8:15 a.m. and must be dismantled by 4 p.m. on Sunday, May 9th. Patricia Vanier, the Conference Exhibitors Coordinator, will be present to meet you when you arrive to set up.

Fees are to be paid in full by April 30, 2010. Please make cheques payable to Celebrating Mothers Conference and mail to LLLC-AB/NWT 21 Elkin Close, Red Deer, AB T4R 1Y8. Exhibitors with unpaid fees may not exhibit. A detailed listing of items proposed for display, distribution or sale must accompany payment.

LLLC-AB/NWT requires exhibitors to provide a detailed listing or description of each item to be sold, distributed or displayed. LLLC-AB/NWT may further request that samples of items be submitted for evaluation using criteria such as safety, suitability to the event, and compatibility with LLLC's sales items at the event. The list is to be sent to the Exhibits Chairperson.

Non-acceptable exhibit items are breastmilk substitutes, commercial baby food and weaning foods, bottle nipples and pacifiers, nipples shields, birth control devices or products, medications, vitamins, minerals, medicinal herbs and food supplements.

Written and/or recorded materials including but not limited to books, pamphlets, magazines, articles, reprints, tapes, records, compact discs etc. are not to be exhibited, with the following exception: charitable/non-profit organizations are allowed to sell the handbook, manual or official publication of the organization, provided that material has been approved for sale by the Area Coordinator of Leaders. Books, tapes and compact discs intended for the entertainment of children may be sold provided that the material has been approved for sale by LLLC. These items (or a list of these items) should be forwarded to the Exhibits Chairperson.

Charitable/non-profit organizations may sell/take orders for items not included in #7 by applying for commercial exhibit space. Exhibition of a product, service, or organization does not constitute an endorsement by LLLC - AB/NWT. A disclaimer to this effect will be printed in the Area Conference Program Booklet. The name of the organization or company sponsoring the display must be clearly shown on each exhibit. Exhibitors will be provided with a standard undraped table and two chairs. Electrical connection is available on a first-come, first-serve basis as outlets are limited. If it is required, please indicate your preference on the attached form. LLLC - AB/NWT is not responsible for theft or damage to exhibit materials. LLLC - AB/NWT does not guarantee sales to any exhibitor. All exhibitors must have insurance and proof of insurance must be included with your payment.
